- ECB announces important changes.
From the 1st May 2015, the ECB can accept DBS checks from other organisations, providing the individual is registered with the DBS’ Online Update Service and the check is the correct type of DBS check. (Individuals can only register for the online service within 19 days of receipt of their DBS Certificate.)
GB Group (previously TMG) will administer the process on behalf of the ECB.
If an individual states they have a DBS from another organisation, that they wish to use, the following question should be asked:
1) Have you registered with the DBS online update service?
If not we cannot accept their DBS from another organisation and they must complete an ECB DBS application.
If so, provide GBGroup’s contact details - ECBchecks@gbgplc.com or telephone 0845 251 3000 so they can request the necessary consent form and documentation.
Please note that this ONLY applies to individuals who are registered with the Online Update Service
The individual should not be permitted to undertake regulated activity until they have completed the process and show as vetted on CBMS

For information, the way the process works, is that GB Group will send out the following:
- A consent form (to allow GBGroup to carry out the check)
- A Post Office Identity Checking Service Form
- Guidance
The individual will then need to complete the consent form and take this, with 3 pieces of ID for certification, to the Post Office. The Post Office will check the individual’s ID documents and confirm this. (The Post Office charges £7.50 charge for this.*)
The Consent Form, the Post Office Certified copies of 3 pieces of ID, and the Original DBS certificate must be sent to GBGroup, who will check the DBS certificate is the correct type, and check against the Online Update Service itself. GBGroup will enter the individual’s details on their system and ours. Where the DBS certificate has content, the normal processes for reviewing content will apply.
GB Group return the original DBS certificate to the individual.
This applicant will not need to complete another DBS application for the ECB, unless they change their role (i.e from children’s to adult’s workforce) or type of role (volunteer to paid), or their online report changes, or if they are asked to do so by the ECB.
GBGroup will carry out update checks every 2 years (the equivalent of our 3 yearly renewals now).
(*A volunteer who does not wish to pay the Post Office fee of £7.50 could choose to complete an ECB DBS, at no cost, as now).
